MSD Tool - Setting up your demographics

The premium MSD tool supports the option to tailor and set demographics to fit your company structure. The system includes the functionality to filter the organisational report based on the various demographics or task. This helps to extract the reports and send them to managers responsible for health and safety at a local level, with details of the priority areas to be addressed.

The guidance below will show you how to set-up your demographics.

Site / Location / Region / Office

  • You can set the term to one of the options above and add up 15 options
  • When setting the demographic, consider how you need to filter the completed assessment, for example:
    • If your organisation has regional health and safety managers, a regional demographic may be most suitable, South East, South West, North, Midlands etc.
    • If your organisation has location health and safety managers, a location demographic may be most suitable, Norwich, London, Birmingham, Cardiff, Newcastle, Glasgow etc.
    • If your organisation has site health and safety managers, a site demographic may be most suitable, site 1, site 2, site 3 etc.

Department / Team / Section

  • You can set the term to one of the options above and add up 15 options
  • When setting the demographic, consider how you need to filter the completed assessment, for example:
    • Department can be used to review data based on similar activities in different locations, e.g. production, distribution, admin etc.
    • Section can be used to review data based on similar functions, e.g. warehouse, factory, office etc.

Assessors name

You can add the names of up to 10 assessors, this allows you to filter and provide a consolidated report specifically for all the tasks an assessor has completed.

Large complex organisations

Where a larger or complex organisation requires more than 15 options for the demographics, we recommend setting up multiple assessments. For example, you may consider setting up a separate assessment for regions, and the use the site as the first demographic within each assessment, example below.

Assessment 1 name: East Anglia

  • Demographic 'Site' options:
    • Cambridge
    • Ipswich
    • Norwich
    • Peterborough
    • Thetford

Assessment 2 name: Midlands

  • Demographic 'Site' options:
    • Birmingham
    • Coventry
    • Derby
    • Dudley
    • Nottingham
    • Solihull
    • Walsall

Assessment 3 name: North West

  • Demographic 'Site' options:
    • Bolton
    • Manchester
    • Oldham
    • Rochdale
    • Stockport

Assessment 4 name: South West

  • Demographic 'Site' options:
    • Salisbury
    • Bath
    • Wells
    • Bristol
    • Gloucester
    • Exeter
    • Plymouth

However, do not over complicate the demographics, the key consideration is to ensure you can filter the organisational report and share with the relevant management to ensure manual handling risks are being effectively managed.
